Privacy Policy

Effective Date: 2026-06-01

This Privacy Policy explains how Run Syrup ("we," "us," or "our") collects, uses, discloses, and safeguards your information when you visit our website or interact with our Customer Engagement Platform, including our feedback forms, community forums, and automated outreach tools (collectively, the "Services").

Because we provide infrastructure for other businesses, this Privacy Policy applies to two primary groups of individuals:

Clients: Businesses and their representatives who subscribe to our Services.

End-Users: Individuals who interact with our feedback forms, forums, and outreach campaigns commissioned by our Clients.

1. Information We CollectA. Information Collected from Clients

To provide and maintain our Services, we collect information directly from the businesses that hire us.

Account Information:
Name, email address, company name, and billing information (processed securely through our third-party payment processor).

Technical Information:
API keys, webhook URLs, and login credentials necessary to route data into the Client's CRM or database.

Brand Assets:
Logos, brand colors, and customer lists provided strictly for the execution of automated outreach campaigns.

B. Information Collected from End-Users

When End-Users interact with the feedback portals, surveys, or community forums hosted on our infrastructure, we collect data on behalf of our Clients.

Submitted Data:
Contact information (such as name and email), feedback responses, survey answers, and forum posts.

Automated Data:
IP addresses, browser types, device information, and interaction metrics (such as timestamps and completion rates) gathered when accessing our hosted forms.

2. How We Use Information

For Clients: We use your information to operate our Services, bill for subscriptions, maintain API connections, provide customer support, and communicate updates about our platform.

For End-Users:
We use your information strictly to operate the feedback loops, route you to appropriate community groups, and generate insights.

3. Data Transfer and Ownership (For End-Users)

Our primary service is providing the infrastructure to collect and route customer feedback. When an End-User submits information through a feedback portal or forum specific to one of our Clients:

Transfer of Ownership:
We securely transfer the collected data directly to the specific Client who commissioned that campaign or portal.

Client Policies Apply:
Once the data is successfully routed to the Client's CRM or database, the data belongs entirely to that Client. The Client's own privacy policy will govern how they store, use, and protect your data moving forward.

Our Role:
We act as the data processor and infrastructure provider facilitating this transfer.

4. How We Share Information

We do not sell, rent, or trade personal information to outside third parties for their marketing purposes. We may share information in the following limited circumstances:

With the Specific Client:
As outlined in Section 3, End-User data is transferred exclusively to the Client for whom the data was collected.

Service Providers:
We may share data with trusted third-party vendors who assist us in operating our infrastructure (such as cloud hosting providers, form-building software, and automation engines). These parties are bound by strict confidentiality agreements.

Legal Requirements:
We may disclose information if required to do so by law or in response to valid requests by public authorities (e.g., a court or government agency).

5. Data Security

We implement commercially reasonable administrative, technical, and physical security measures to protect your personal information from unauthorized access, disclosure, or destruction. However, no data transmission over the internet or method of electronic storage is 100% secure. While we strive to protect the data within our pipelines, we cannot guarantee its absolute security, nor are we responsible for the security practices of the third-party CRMs where the data is ultimately deposited.

6. Data Retention

Client Data: We retain Client account and billing information for as long as the account is active, and for a period afterward as required for legal and accounting purposes.

End-User Data:
Because we transfer End-User data to our Clients, we only retain this data on our infrastructure for the brief period necessary to ensure successful routing and API transmission, or to provide historical analytics to the Client as part of their active subscription.

7. Your Privacy Rights

Depending on your location, you may have specific rights regarding your personal information, including the right to access, correct, or delete your data.

Clients:
You may update your account information or cancel your subscription at any time by contacting us.

End-Users:
Because your data is transferred to and owned by our Clients, requests to access, modify, or delete your specific feedback data should be directed to the Client business you interacted with. We will assist our Clients in fulfilling these requests within our infrastructure as necessary.

8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or technology. We will notify Clients of any material changes via email or a notice on our website. The updated policy will include a new "Effective Date."
