Privacy Policy

This Privacy Policy explains how Run Syrup ("we," "us," or "our") collects, uses, discloses, and safeguards information when you visit our website or use our retention platform, including our policyholder check-in forms and CRM tools (collectively, the "Services").

This Privacy Policy applies to two groups of individuals:

Agencies: Insurance agencies and their team members who subscribe to our Services.

Policyholders: Individuals who submit a check-in through a form hosted on our infrastructure at the request of a subscribing agency.

1. Information We Collect

From Agencies: account information (name, email address, agency name), billing information (processed by a third-party payment processor when applicable), and — if a team member connects Google Workspace — the Google account information and authorization described in Section 3 below.

From Policyholders: information submitted through a check-in form (name, email, sentiment rating, and any comments provided), and automatically collected technical data (IP address, browser type, device information, and timestamps) generated when accessing our hosted forms.

2. How We Use Information

For Agencies: to operate the Services, maintain your account, provide customer support, and communicate updates about the platform.

For Policyholders: to route your check-in to the agency you have a relationship with, surface it in that agency's dashboard, and — where relevant — route a positive check-in toward a review or referral request on the agency's behalf.

3. Google Workspace & Gmail Integration

Run Syrup's CRM tools allow an agency team member to optionally connect their Google Workspace account so the platform can send and read email on their behalf, directly within the CRM. If you connect Google Workspace:

We access only what is needed to display relevant email correspondence inside the CRM and to send messages you explicitly compose and send through the product. This data is used solely to provide that user-facing feature — it is never used to serve advertisements, never sold, and never used for any purpose beyond operating the Services you have requested. Access can be revoked at any time from your Google Account settings, which immediately stops Run Syrup's access to your Gmail data.

4. Data Retention & Ownership

Policyholder check-in data is retained on our infrastructure for as long as the subscribing agency's account is active, so it can continue to power that agency's retention dashboard and historical reporting. We act as the data processor on the agency's behalf; the agency controls how that data is used within the product.

5. How We Share Information

We do not sell or rent personal information. We may share information with trusted infrastructure providers who help us operate the Services (such as our cloud hosting and database providers), each bound by confidentiality obligations, or when required by law or a valid request from a public authority.

6. Data Security

We implement commercially reasonable administrative, technical, and physical safeguards to protect information from unauthorized access, disclosure, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Privacy Rights

Agencies may update their account information or close their account at any time by contacting us.

Policyholders may request access to, correction of, or deletion of their check-in data by contacting either the agency they interacted with or us directly at the email below.

8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Material changes will be noted on this page with a new Effective Date.
